Payments

Monitor real-time transaction ledgers, verify payment statuses, issue PDF receipts, log on-site installation fees, and reconcile accounts.

The operational payment ledger

In your Nukta dashboard, navigate to Finance → Payments to access your centralized payment ledger. The ledger provides an immutable, real-time record of all funds received or initiated across your ISP network — whether processed via automated online gateways, mobile money, prepaid voucher batches, or manual cash collections.

The ledger supports multi-attribute search, date-range filtering, transaction detail drawers, PDF receipt generation, and secure CSV/Excel exports for financial auditing.

Understanding payment statuses

Every payment in the ledger carries an explicit operational status:

  • Confirmed / Settled: The payment gateway or financial institution has successfully cleared the funds and notified Nukta via a secure callback. Customer account validity is advanced, speed queues are applied, and internet access is restored automatically.
  • Pending: The payment request has been initiated (e.g., an STK push prompt has been dispatched to the customer's phone or a card checkout window opened), but the gateway has not yet returned a final confirmation.
  • Failed / Cancelled: The customer cancelled the transaction, entered an incorrect PIN, or experienced insufficient funds.
  • Reversed: The transaction was refunded or reversed by the payment provider.
CAUTION
Pending Payments Notice

A payment request ID or customer prompt is not confirmation of received funds. Never manually activate access or extend customer expiry based on a pending transaction until the provider callback confirms the settled state.

Finding and inspecting payments

To locate a specific transaction in Finance → Payments:

  1. Search Bar: Search using any stable customer identifier — payment receipt code (e.g., QE5910K81L), gateway reference ID, customer full name, account username (e.g., S102), or registered mobile phone number.
  2. Filters: Narrow results by Status (Confirmed, Pending, Failed), Payment Method (Paystack, Mobile Money, Cash, Bank, Voucher), and custom Date Windows.
  3. Comparing Similar Records: If two records appear similar, compare the unique gateway reference code, receipt timestamp, payment amount, and customer ID before determining whether a transaction is a duplicate.

The payment detail view

Clicking on any payment row opens the slide-out detail drawer:

  • Financial Summary: Exact amount paid, transaction currency, payment channel, and gateway confirmation reference.
  • Customer Context: Associated customer account, phone number, and assigned internet package.
  • Invoice Linkage: If the payment settled an outstanding invoice, a direct link to the invoice record is displayed.
  • Receipt Actions: View, print, or download a branded PDF receipt, or resend an SMS payment receipt to the customer's phone.

Recording manual payments

When money is received outside automated payment gateways (such as cash handed to your counter clerk or direct bank wire transfers):

  1. In Finance → Payments, click Record Payment.
  2. Select the target Customer from the dropdown picker.
  3. Enter the payment details:
    • Amount: The exact funds received in your selected currency.
    • Payment Method: Select Cash, Bank Transfer, or Other.
    • Reference / Receipt: Enter the bank transaction number or physical paper receipt number. Always use the genuine reference code to ensure clean accounting audits.
    • Payment For: Choose whether the payment is for a Subscription Package or an Installation Fee.
  4. Click Save Payment. Nukta updates the customer's subscription, extends their expiry date, and logs the transaction in the ledger.
NOTE

Do not record a manual payment simply because an automated payment shows "Pending." First verify the payment status with your gateway provider to prevent granting double credit.

On-site installation fees

When your field technicians install fiber drops or CPE wireless routers at a customer's premises, they may collect a one-time installation or equipment deposit:

  • When adding a new customer under Users → Customers → Add Customer, enter the collected funds in the Installation Fee field.
  • For existing customers, record a manual payment in Finance → Payments and set Payment For to Installation Fee.
  • Accounting Treatment: Installation fees count as business revenue in your financial ledger and analytics reports, but they never extend customer subscription expiry or alter internet bandwidth queues.
  • Reconciliation Lock: Installation fee payments are automatically saved as reconciled and cannot be edited later. If an incorrect amount was entered, delete the incorrect entry and record a fresh record.

Generating and emailing PDF receipts

Every confirmed payment in Nukta automatically generates a professional, branded PDF receipt featuring your ISP logo, business network name, customer details, and payment timestamp:

  1. Locate the transaction in Finance → Payments and click View Receipt.
  2. Click Download PDF to save or print the receipt for your records.
  3. Click Email Receipt to send an electronic copy directly to the customer's registered email address.

Financial data export

To export your payment data for monthly bookkeeping, tax filing, or accountant reconciliation:

  1. In Finance → Payments, click Export CSV.
  2. Select the Start Date and End Date for the accounting period.
  3. Apply any desired status or method filters.
  4. Click Generate Export. The CSV file downloads securely with full transaction hashes, customer IDs, and gateway references.

Troubleshooting: "Paid but service not active"

If a customer reports that they completed a payment but their internet access remains inactive, follow this structured diagnostic checklist:

  1. Verify Payment Status: Search for the customer's phone number or receipt code in Finance → Payments. Confirm the status shows Confirmed / Settled rather than Pending or Failed.
  2. Check Customer Association: Verify that the payment was linked to the correct customer account (and not entered under an incorrect username).
  3. Inspect Account Expiry: Open Users → Customers → View Customer. Verify that their expiry date advanced and that their account is not in Paused or Blocked status.
  4. Inspect Live Sessions & Router Health: Check Users → Active Users and Devices → Mikrotiks. If the customer's device was connected while expired, the router may have a cached rejection session. Use Graceful Disconnect (Kick) to clear the session and force an immediate re-authentication with fresh queues.
  5. Check Invoice Association: If the customer was paying against a specific outstanding invoice, confirm that the invoice status has transitioned to Paid.
