Expenses

Track ISP operational expenditures, categorize business costs, record supplier receipts, and monitor net profit margins.

Tracking operational expenditures

Operating an internet service provider involves recurring business costs — upstream bandwidth wholesale transit, electricity, fiber splicing equipment, technician salaries, SMS, and site rent.

In your Nukta dashboard, navigate to Finance → Expenses to log operational costs directly alongside your customer revenue. By recording expenses in Nukta, your management team gains instant visibility into cash flow, operating margins, and net profit trends without waiting for end-of-quarter accounting audits.

The four expense summary cards

At the top of the Finance → Expenses workspace, four real-time KPI cards summarize your spending:

Metric CardWhat it calculatesPurpose
This MonthAll expenses logged since the 1st day of the current calendar month.Track monthly operating burn against your monthly subscription revenues.
Last 7 DaysA rolling 7-day cumulative expense window.Spot short-term operational spending spikes or sudden supply purchases.
TodayTotal expenses recorded so far today.Monitor daily field cash disbursements and counter petty cash.
All TimeCumulative total of every expense recorded since workspace initialization, including total record count.Provide macro-level financial history for annual reporting and tax reconciliation.
NOTE

These four top KPI cards calculate totals across all expense entries in your workspace and remain constant when you apply table filters.

The nine standard expense categories

Every expense in Nukta is classified under one of nine standardized categories:

  1. Bandwidth: Wholesale upstream IP transit.
  2. Electricity: Power bills for tower sites, server rooms, generator diesel fuel, and battery backups.
  3. Hardware: Core routers, switches, fiber patch cords, ONTs, CPE antennas, and installation tools.
  4. Salaries: Monthly wages and commissions paid to field technicians, NOC engineers, support agents, and billing clerks.
  5. SMS: SMS bundle top-ups and gateway credits used for customer payment receipts and renewal reminders.
  6. Rent: Site lease payments for rooftop antennas, tower land leases, and central office facilities.
  7. Marketing: Local flyer printing, roadshow promotions, social media campaigns, and billboard advertising.
  8. Utilities: Water, office internet, waste management, and general facility overheads.
  9. Other: Legal fees, regulatory licensing, bank charges, and miscellaneous petty cash (default category).

Recording an expense step-by-step

To log an expenditure:

  1. In your dashboard, open Finance → Expenses.
  2. Click Record Expense (or + Add Expense).
  3. Fill in the transaction fields:
    • Category: Select from the nine standard categories.
    • Amount: The total funds spent in your selected currency (must be zero or greater).
    • Date & Time: Defaults to current date and time, or backdate to match the supplier invoice.
    • Payment Method: Select Cash, Mobile Money, Bank Transfer, Card, or Other.
    • Receipt / Reference: Supplier invoice number, voucher code, or payment transaction hash (up to 120 characters).
    • Description: Detailed note explaining the expenditure.
  4. Click Save Expense. The expense appears immediately in the table and updates your analytics cards.

Finding, filtering, and correcting expenses

Searching and date filtering

  • Search Bar: Instant keyword search matching descriptions, supplier receipt codes, or payment channels.
  • Category Filter: Filter the table to review specific cost centers (such as all Electricity or Hardware expenses).
  • Date Range Filter: Select From and To dates to analyze costs for a specific billing week, month, or quarter.

Editing and deleting records

  • Edit: Open any expense row menu and choose Edit to correct typographical errors, update descriptions, or fix receipt references.
  • Delete: Permanently removes an erroneous expense entry. Because deletion is permanent, confirm that the record was entered in error before deleting. If a correction impacts a closed financial month, notify your organization's finance lead.

How expenses power financial analytics

Expense data in Nukta feeds directly into the Payments vs Expenses chart in Analytics → Overview:

  • Revenue vs Cost: Customer subscription payments are plotted as vertical bars alongside a continuous line representing daily expenditures.
  • Net Operating Profit: Nukta automatically computes net cash flow (Total Payments − Total Expenses) in your selected currency.
  • Whole-ISP Scope: Because overhead costs (such as salaries, site rent, and SMS bundles) represent company-wide operations, expenses always calculate across the entire ISP workspace regardless of which router is selected in reporting filters.
  • Live Refresh: The analytics chart updates every two minutes to reflect newly logged payments and expenses in real time.
